TERMS and CONDITIONS

In making a deposit payment to secure our services, the hirer accepts these Terms and Conditions and agrees to be bound by them.

Quotations and Reservations:
Our quotations are All Inclusive and based on the details given by the prospected clients. There are no extra mileage or time penalties unless the agreed booking details are substantially changed.
On request, cars and dates may be reserved for up to 2 weeks from the first enquiry or quotation.

Payments and hire:
To confirm booking:
A deposit of £75.00 per car is required and this is non-refundable.
Payment to be made by Bank transfer or cash.

Final balance payment:
This is payable 3 weeks before the wedding day.
Payment to be made by Bank transfer or cash.

Cancellation:
This must be made in writing either by email or letter.
All deposits paid are non-refundable. However, if the wedding is moved to a new date and a suitable car is available the deposit paid will be transferred to the new date.
Any payments made after 4 weeks before the cancelled wedding day are non-refundable.
The full outstanding balance is payable if a cancellation is received within 4 weeks of the hire date.

Period of Hire:
This will be from the agreed arrival time at the first pick-up address to delivering the Married Couple to their reception as agreed prior to the wedding day. This applies whether it is a Religious or Civil ceremony. During the hire period all personal articles and goods carried or left in the car are done so entirely at the owners risk. Peterborough Wedding Cars are not responsible for any loss or damaged caused to such items.
It is the responsibility of the client to be satisfied that all details, dates, times and addresses are correct on their Balance Receipt form. Corrections/alterations may be made but must be confirmed and acknowledged by email.

Anti-Harassment and Damage
We will not tolerate any abuse or threatening behaviour to any of our team or staff or abuse of our Vehicles.  If this occurs, We retain the right to terminate our services immediately.  This applies equally to You, the Client, and your guests. We may also terminate our services where our staff or team feel any Equipment belonging to Us is in danger or has been damaged due to the actions or unruly behaviour by You or your guests.  Wherever possible and reasonable to do so, We will speak with You or the venue first to try to resolve the matter before any termination is enacted.  If We do terminate our services, for any reason, the full cost of our services will remain due and We will not issue any refunds for any period that our service was not provided.  Moreover, You the Client will be responsible for any damages caused by You or your guests or other attendees at the event to Us for any damage to our Vehicles(s), howsoever caused.

Car seating capacity:
The maximum number of passengers carried by any of our cars is given on our website and in our brochure.
Infants: Safety regulations introduced in October 2006 state “Children 3 years and older can only travel in the back of a vehicle without seat belts (e.g. a classic car) and those under 3 years cannot be carried at all.”
Whilst we will extend every courtesy to our passengers, we also exercise the right to terminate the booking if the client or passengers, in the chauffeur’s judgement, are unfit to travel.

Car presentation:
Bearing in mind the age of our cars, considerable care is taken to maintain our vehicles in first class condition and working order. Each is impeccably presented with ivory satin ribbon and where appropriate pastel silk flower display on the rear parcel shelf. We will also be happy to dress cars in the ribbon colour of your choice.

Breakdown:
In the unlikely event that the reserved car is not available on the wedding day for whatever reason, a suitable replacement car will be provided.

Should the car not complete the engagement owing to mechanical failure, accident or any other cause whatsoever, we will make every effort to supply a satisfactory alternative car. If this is not possible due to time / distance we will agree to refund pre-paid deposits or hire charges taking into consideration any part of the service completed.

No liability will be accepted for any consequential loss.

COVID-19

Peterborough Wedding Cars and their customers are required to comply with the latest government regulations, guidelines and advice. This to include the wearing of appropriate face covering and Government Social Distancing advice.

Cars will be thoroughly cleaned prior to leaving our base.

PRIVACY POLICY STATEMENT

From 25th May 2018 Trevor and Pat Baldwin Peterborough Wedding Cars will be required to comply with the GDPR and this will require you to give us your consent to store your data by “opting in” to allow us to do so.

All Information you give us will be stored securely and not be passed on to any third party. For obvious reasons, we will need to pass relevant details to our Chauffeur on your wedding day who, whilst engaged by Trevor and Pat Baldwin Peterborough Wedding Cars, would not be considered a third party.

Your Personal Data:

Trevor and Pat Baldwin Peterborough Wedding Cars will be what is known as the ‘Controller’ of the personal data you provide to us.

What data do Trevor and Pat Baldwin Peterborough Wedding Cars need and why is it needed:

Unless otherwise agreed with you, we will only collect basic personal data about you. This personal information will be your name (first & last as a minimum), home or pick-up address, email address and phone number(s).

We need to know this basic personal data in order to make contact with you to ensure we provide you with the services you have engaged us to provide, and to assert our right to be recompensed in return for these services as per the booking agreement Trevor and Pat Baldwin Peterborough Wedding Cars have with you. We will not collect any personal data from you that we do not need in order to provide and oversee the services we have agreed to provide you.

What will Trevor and Pat Baldwin Peterborough Wedding Cars do with this data:

All the personal data we collect and hold about you will be processed by Trevor and Pat Baldwin Peterborough Wedding Cars in the UK. Relevant information will also be shared with our Chauffeur on your wedding day.

No third parties will have access to your personal data unless there is a legal obligation for us to provide it.

We will take all reasonable steps to ensure that your personal data is processed and stored securely.

How long will Trevor and Pat Baldwin Peterborough Wedding Cars keep this data:

We will need to keep your personal data files for up to 7 years in order to meet any HMRC requirements or until you instruct us to rescind your data we hold which ever is the sooner.
